What is RecordMy?

RecordMy is safeguarding and concern-recording software that brings concerns, actions, outcomes and supporting evidence into one secure chronology. Organisations can configure terminology, forms, categories, workflows and notifications around the way their teams work.

Who is RecordMy designed for?

RecordMy is designed for organisations that need a secure, accountable way to record and manage safeguarding, wellbeing, behaviour or health and safety concerns. It supports education, charity, faith, sport, training, alternative provision, international and business settings.

Can RecordMy be customised?

Yes. Organisations can customise terminology, concern forms, fields, categories, workflows, notifications and access permissions. This allows teams to reflect their own policies and reporting requirements without losing a consistent audit trail.

Can staff use RecordMy on mobile devices?

Yes. The web platform is responsive across modern desktops, laptops, tablets and mobiles, and the dedicated RecordMy app helps staff record concerns, review notifications and complete tasks while away from a desk. The app also supports push notifications and Face ID on compatible Apple devices.

Can all staff see sensitive information?

No. Access is role-based, so staff only see the records, people and actions relevant to their responsibilities. Configurable visibility rules and audit trails help authorised leaders maintain oversight without giving every user access to sensitive case information.

Does RecordMy include safeguarding eLearning?

Yes. RecordMy includes a built-in eLearning library with learner progress, assessments, completion records, certificates and management controls. Nine new and updated courses are being added for September 2026, covering annual safeguarding, KCSIE, online safety, data protection, artificial intelligence and cyber security.

Does RecordMy support anonymous reporting?

Yes. Authorised teams can create reporting forms that people can use without signing in, then share them through a website embed, external link or QR code. Submissions enter the appropriate safeguarding workflow for review and action.

What reporting and export options are available?

RecordMy provides reporting, filtered summaries, chronology exports and downloadable records for inspections, governance, case reviews and information sharing. Data can be exported in formats including PDF, CSV and portable JSON, depending on the workflow.

What integrations does RecordMy support?

RecordMy supports more than 50 integrations, including more than 35 school MIS and SIS connections and specialist integrations for charity, faith, training and business settings. Current examples include Wonde-supported education systems, monday.com, ChurchSuite, CharitySuite, OneAdvanced, PICS, TeamUp and DaySmart, with bespoke integrations available where required.

Is onboarding and training included?

Yes. RecordMy subscriptions include onboarding guidance, practical platform training and ongoing support. Refresher training is also available to help teams maintain consistent recording and make effective use of new features.

Is RecordMy secure?

Yes. RecordMy uses layered technical and operational security controls, including encrypted connections, encryption at rest, role-based permissions, audit logging, backup and recovery processes, network protection and regular security assurance activity. Current architecture and deployment details can be supplied during due diligence.

Do you support regional services and data residency?

Yes. RecordMy operates regional services and can provision customers into region-appropriate environments. Hosting region and any strict residency requirements are confirmed during onboarding and contractual due diligence.

Does RecordMy support SSO and multi-factor authentication?

Yes. RecordMy supports SAML-based single sign-on for individual organisations, multi-academy trusts and multi-site groups. Two-factor and multi-factor authentication options include time-based one-time passwords and the RecordMy authentication app.

Who owns our data?

Your organisation retains ownership of its data. RecordMy provides export options to support operational use, contractual portability and an orderly transition if an organisation chooses to leave the service.

Is a dedicated enterprise environment available?

Yes. Enterprise VPC is available by quotation and combines Enterprise features with a dedicated Virtual Private Cloud, an isolated database, custom-branded login pages, organisation-wide branding and bespoke features or integrations.

How much does RecordMy cost?

RecordMy subscriptions start from £495 per year, excluding VAT. Pricing varies by region, organisation type and plan, while Enterprise VPC is priced by quotation. Published plans include onboarding and support.

How quickly can we launch RecordMy?

Most standard customers can be onboarded and live within 24 to 48 hours once the required information is available. Projects involving bespoke integrations or more complex migration requirements are planned separately and commonly complete within two weeks.

Can you migrate our existing safeguarding records?

Yes. RecordMy has completed hundreds of data migrations from existing safeguarding systems, spreadsheets and cloud documents. The team agrees the scope, maps fields, imports the data and validates the result so historical information remains useful and searchable.

What support is available after launch?

Ongoing support is included with RecordMy subscriptions. The team can help with platform use, configuration, refresher training, new features and questions that arise as an organisation’s safeguarding processes develop.
