How many people use RecordMy?
RecordMy supports thousands of users across the United Kingdom, Europe, the Middle East, North America, Africa, Asia and Australia. We work with schools, football clubs, charities, churches and many other organisation types. We do not use customer data for any purpose (including marketing), and we only publish selected testimonials where organisations have explicitly chosen to share their experience.
Is RecordMy mobile friendly?
Yes. RecordMy is web-based and designed to work on devices with an internet connection, including modern desktops, laptops, tablets and mobiles. Teams can securely access key safeguarding workflows on the go without needing separate mobile software.
Can all staff see sensitive information?
No. Access is permission-based, so staff only see records and actions relevant to their role. The platform includes role-based access controls, audit trails and configurable visibility rules. Multi-factor authentication is supported, including our authentication app (rmyauth), to provide a strong second layer of account protection.
Is RecordMy secure?
Security is built into the platform design and operations. Data is protected in transit using HTTPS with current TLS protocols and valid SSL/TLS certificates, and encrypted at rest using industry-standard controls such as AES-256. Access security includes role-based permissions, SAML-based SSO, and 2FA/MFA options including TOTP. Operational resilience and protection controls include region-based replication aligned to customer region, backup and recovery processes, network firewalls and web application firewall (WAF) layers, full audit logging, and regular security assurance activities including annual penetration testing. Exact implementation details can vary by deployment and region, and we can provide current architecture detail (including hosting and resilience approach) as part of due diligence.
Do you support regional services and data residency?
Yes. We operate regional services and can provision customers to region-appropriate environments. Data residency is handled on a region basis so organisations can align service location with policy, contractual and regulatory expectations. If your organisation has strict residency requirements, we confirm hosting region during onboarding.
Do you support SSO?
Yes. RecordMy supports SAML-based single sign-on (SSO) for individual organisations and larger groups such as multi-academy trusts and multi-site organisations. SSO can streamline user lifecycle management and reduce manual add/remove account administration in day-to-day operations.
Is training included?
Yes. We include onboarding guidance and practical training so your team can adopt the platform quickly and consistently. We also provide ongoing support and refresher training to help safeguarding teams maintain quality standards and get full value from RecordMy over time.
How quickly can we launch?
All customers are onboarded and live within 24-48 hours. If you have custom integration requirements, these are usually completed in under two weeks.
What integrations do you offer?
We support integrations with over 35 school MIS/SIS systems through our integration partner, Wonde. We also support integrations with other systems including TeamUp, PICS, and ChurchSuite. Integration is included as part of selected subscriptions, and if we do not currently integrate with your chosen system, we will set up that integration for you at no additional cost.
Can you help us migrate existing data?
Yes. If you are using another system such as CPOMS, MyConcern, Smoothwall Record Manager, or Safeguard My School, you can move your records to RecordMy with ease. We have completed hundreds of migrations from these platforms. If you are currently using spreadsheets or cloud documents, we can also import these (depending on data structure and layout). We plan migration scope with you first, then map fields and validate outputs so historical information remains useful and searchable in your new environment.
Is data export available?
Yes. RecordMy provides export and reporting options to support inspections, governance oversight, case review and internal quality assurance. Teams can produce clear output for operational safeguarding review without relying on manual copy-and-paste workflows. Your data belongs to you. If you decide to cancel services, you can do so and download your data directly from the platform. We provide data in multiple formats, including CSV and JSON. The JSON format is designed to be portable and supports moving records to other electronic recording platforms.
